Projects & columns

Give each area of your life a place, and shape its workflow.

Create and rename projects#

  1. Use the + beside Projects in the sidebar to add a project.
  2. Choose a useful name, such as Home, Studio launch, or Holiday. Select the storage option offered by the app.
  3. Use the project’s actions menu to rename it or inspect its storage and collaboration options.

The free allowance is one owned project. Use Settings to unlock Unlimited Projects or restore an existing purchase. Joining someone else’s shared project does not require you to buy another owned project.

Make the workflow your own#

  1. Begin with To do, Doing, and Done.
  2. Use Add column (the + at the end of the board) or Add column after in a column’s menu.
  3. Choose the column title, color, and icon in the available controls.
  4. Use a column’s menu to rename it or move it left or right.
  5. To remove a column, choose Delete column. If it contains tasks, select a remaining destination so those tasks are preserved.

Example: a publishing board could have Ideas, Drafting, Review, and Published. A home board might only need To do, Doing, and Done. Keep the workflow short enough that moving a card feels useful.

Board or list#

Use the Board/List switch above the project. Board is useful for stages and movement; List is useful for scanning task details. In board view, scroll sideways to reach extra columns. Use task ordering controls where available to place the next action near the top.

Move work between projects#

Use the task’s move menu to choose another project, or edit its Project field. Moving an Inbox item into an iCloud project places it on that project’s sync path. Check the destination and edit permissions before moving shared work.

Clear or delete a project#

The project actions menu includes clearing and deletion where permitted. Read the confirmation carefully: clearing removes the project’s tasks; deleting removes the project itself. Export a backup before a large cleanup. Shared projects have different owner and participant actions; see iCloud & sharing.
