Quick capture on Mac#
- Keep KanbanDo running.
- Press ⌘ ⇧ I, or choose Capture to Inbox from the app’s menu.
- Enter the task and save it to Inbox.
- Open Inbox later to add details or file it into a project.

If the shortcut is unavailable because another app has registered it, use the menu action. The app reports registration errors at launch.
Capture from another app#
When browsing or viewing content, open the system share sheet and choose KanbanDo where the extension is available. Review the captured text, link, or supported images before saving. The capture goes to Inbox; open KanbanDo to organize it.
Ask Siri#
- Launch KanbanDo once and enable Siri on the device.
- Say “Hey Siri, add to KanbanDo Inbox.”
- When Siri asks “What do you want to remember?”, dictate the task.
- Wait for confirmation, then open KanbanDo and check Inbox.
“Capture something in KanbanDo” is also supported. The built-in interaction asks for the task text; do not rely on arbitrary full-sentence requests being interpreted as separate fields. Confirmation means the item has been safely queued for the app to import, not that it has synchronized to iCloud.
Create a dictation shortcut#
- Open Apple Shortcuts and create a shortcut.
- Add Dictate Text.
- Add KanbanDo’s Capture to Inbox action and pass the dictated text into Task.
- Optionally supply notes, a URL, or images using the action’s available inputs.
- Run the shortcut and check Inbox. On a supported iPhone, assign it to the Action button in system settings if desired.
File captured items#
Inbox captures stay on the device where they were created. To make a captured item available elsewhere, move it into a named iCloud project and allow synchronization to complete. For a larger batch of meeting notes, an AI connection can create separate tasks with supporting checklists.
